Privacy Policy

This Privacy Policy explains what PC-AfterHours, Inc. (“we”, “us”) collects when you use the support portal (the “Portal”), why, and what we do with it. It covers the Portal only. Information we process in connection with our wider services to your organization is governed by the agreement between us and that organization.
The Portal is operated from the United States and is intended for clients in the United States.
1.Our role
Some information in the Portal relates to your organization and is processed by PC-AfterHours, Inc. on the organization’s behalf as part of the services we provide. Other information, such as Portal account information, security and acceptance records, is processed by PC-AfterHours, Inc. for purposes including operating and securing the Portal, administering access, and maintaining records of Portal activity.
Where information is processed on behalf of your organization, requests concerning that information may need to be handled through your organization.
2.What we collect
From your identity provider, when you sign in
The Portal has no password of its own. You sign in using an identity provider supported by the Portal, which provides us with information such as your email address and display name and, where available, your profile picture. We do not receive or store your password.
About your account
- The email address you were invited at, and the organization you are associated with.
- Your role in the Portal, and whether your access is active or disabled.
- Who invited you, or which authorized email domain admitted you, and when your account was created.
- The date and time you last signed in, how many times you have signed in, and which provider you used.
A copy of your organization’s support tickets
So that the Portal can search and display them quickly, we keep a copy of your organization’s support tickets in the Portal’s own database, refreshed periodically from our service management system. That copy includes each ticket’s reference, subject, description and resolution, its status and dates, the name and email address of the contact it was raised for, the name of the technician assigned to it, the equipment it concerns, and any notes on it that have been marked as visible to your organization. Ticket text is written by whoever raised or worked the ticket, so it may contain names, contact details and other information about your staff.
This is a copy, not the record. Our service management system remains the source, and information deleted there is removed from the Portal’s copy as part of the normal synchronization process.
What you submit
We collect the answers you enter on a Portal form, together with your name, your email address, the organization the request is for, the date and time, and a reference number. Where a form asks about another person — a new starter, for example — that is information your organization is sharing with us in order to receive the service.
Logs
- Acceptance records. When you accept the Terms of Use and acknowledge this Policy, and each time you confirm on a form that you are authorized to submit it, we record the exact wording you were shown, its version, your email address, your organization, the date and time, your IP address and your browser’s user-agent string.
- Administrative activity.Changes made in the Portal’s admin area — users added, disabled or removed, access domains changed, forms submitted — with the email address of whoever made the change.
- Server logs. Ordinary technical logs kept by our hosting provider for operating and securing the service.
Cookies
The Portal uses session cookies and other cookies required for sign-in and authentication.
We do not use analytics, advertising or tracking cookies, and we do not use third-party advertising or tracking technologies.
3.Why we use it
- To let you sign in, and to show you your organization’s tickets and no one else’s.
- To receive, route and act on the requests you send.
- To email you a copy of what you sent, and to reply to you about it.
- To keep the Portal secure, to investigate misuse, and to establish what was instructed, by whom and when, if that is ever disputed.
- To meet our own legal, tax and record-keeping obligations.
We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not use it to train general-purpose machine learning models.
4.How long we keep it
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide and secure the Portal, administer access, maintain business and service records, establish or defend legal claims, and comply with legal obligations.
Different types of information may therefore be retained for different periods. Information processed on behalf of a Client may be retained in accordance with the Client’s instructions and applicable agreements.
When information is no longer reasonably necessary for these purposes, we may delete it, anonymize it, or otherwise dispose of it in accordance with our applicable policies and legal obligations.
5.Who we share it with
We do not sell or rent personal information, and we do not share personal information for cross-context behavioral advertising.
We may disclose personal information to service providers and other third parties that support the operation of the Portal or our services, including providers of:
- application and database hosting;
- identity and authentication services;
- email and document storage;
- service management and ticketing systems;
- security, monitoring and infrastructure services; and
- other technology and business services necessary to operate the Portal.
These providers process information on our behalf and are authorized to use it only as necessary to provide their services or fulfill other permitted purposes.
We may also disclose information when required by law, court order or a regulator, to establish or defend legal claims, to protect the rights or safety of PC-AfterHours, Inc. or others, or in connection with a merger, acquisition, sale or other reorganization of our business.
6.Security
We use reasonable administrative, technical and organizational measures designed to protect information against unauthorized access, use, alteration or disclosure. Sign-in is delegated to Microsoft or Google, so we do not recieve or store your password. Traffic is encrypted in transit, and data is encrypted at rest by our hosting providers.
No system is perfectly secure. Please keep your sign-in credentials to yourself, and tell us at support@pcafterhours.net if you think your account has been used by someone else.
7.Your choices and rights
Subject to applicable law and the nature of the information, you may ask us what personal information we hold about you, ask us to correct inaccurate information, or ask us to delete information that we are responsible for processing.
Write to support@pcafterhours.net from the address your Portal account is registered to. Asking from the registered address is ordinarily how we verify that the request is yours; where that is not possible, we may ask for other information to verify your identity before responding.
Where appropriate, we can provide information from the Portal including your account record, acceptance records, Portal activity, and information relating to tickets associated with your account.
Some information in the Portal is processed on behalf of your organization rather than for our own purposes. Requests concerning that information may need to be handled through your organization or in accordance with the organization’s instructions and applicable agreements.
8.Children
The Portal is a business tool. It is not directed at children, and we do not knowingly collect information from anyone under 16.
9.Changes to this Policy
We may update this Policy. Each version carries a version number and an effective date, shown at the top of this page. When we publish a new version, the Portal asks you to acknowledge it before you continue.
